This Privacy Policy describes how Perfect Day Plan (“Perfect Day Plan,” “we,” “us,” or “our”), operated at perfectdayplan.com, collects, uses, stores, shares, and deletes information when you use our websites, web application (including portal.perfectdayplan.com), APIs, and related services (collectively, the “Service”).
This Policy is written to be specific to Perfect Day Plan. It includes disclosures required for apps that access Google user data through Google OAuth and Google APIs.

1. Who we are and who this Policy covers
Perfect Day Plan is a business software platform for event planners, venues, and related vendors. Customers (“Organizations”) create company accounts; their authorized staff (“Users”) use the Service to manage inquiries, events, communications, calendars, files, and related workflows.
This Policy applies to:
- Visitors to our public websites
- Users who sign in to the Service
- Organizations that connect Google accounts to the Service
- Individuals whose information is processed in the Service because an Organization uses Perfect Day Plan (for example, clients or leads contacted by that Organization)
When an Organization uses Perfect Day Plan to process data about its clients or contacts, that Organization is typically the controller of that data, and Perfect Day Plan processes it on the Organization’s behalf as a service provider / processor, except where we process data for our own purposes as described below (for example, account administration, security, and billing).
2. Information we collect
2.1 Information you or your Organization provide
Depending on how you use the Service, this may include:
- Account identifiers (name, email address, password or authentication credentials)
- Organization profile information (company name, contact details, branding, settings)
- Business content entered into the Service (inquiries, events, guests, vendors, tasks, notes, proposals, templates, and similar records)
- Support and correspondence you send us
- Billing and subscription-related information (processed via our payment provider when enabled)
2.2 Information collected automatically
We may collect technical and usage information such as IP address, device/browser type, approximate location derived from IP, timestamps, pages or features used, and diagnostic logs needed to operate, secure, and improve the Service.
2.3 Google user data (OAuth / Google APIs)
Perfect Day Plan uses Google OAuth and Google APIs in two ways:
A. Google Sign-In (authentication)
Users may choose to sign in with Google. We use Google Identity Services to verify a Google ID token and obtain the user’s email address (and verification status) so we can match that email to an existing Perfect Day Plan user account. We do not use Google Sign-In to create new user accounts from Google alone.
Google Sign-In uses standard OpenID / profile identity scopes (for example, openid, email, and basic profile identity). We use this data only to authenticate the user into Perfect Day Plan.
B. Connected Google Workspace accounts (Gmail, Calendar, Drive)
Organization administrators may connect one or more Google accounts so Perfect Day Plan can provide communication and workspace features inside the product. When an account is connected, we request only the OAuth scopes needed for the features that Organization enables. Depending on configuration, those scopes may include:

What Google user data we store from these integrations (examples):
- Connected account email address and granted OAuth scopes
- Encrypted OAuth refresh tokens (and related connection health / expiry metadata)
- For inbound email workflows: message identifiers, timestamps, sender, subject, and message body/content needed to file the message into the Organization’s CRM records
- Links / identifiers for calendars, calendar events, and Drive folders created or updated by the Service (for example, calendar IDs, event IDs, Drive folder links)
We access Google user data only after an authorized User completes Google’s consent screen for that Organization’s connection.
3. How we use information (including Google user data)
We use information to:
- Provide, operate, maintain, and improve the Service and its user-facing features
- Authenticate Users and secure accounts
- Send and receive email on behalf of an Organization through connected Google accounts
- Import and route inbound email into inquiries, events, and related CRM workflows
- Create and update Google Calendar events and Google Drive folders associated with events in the Service
- Provide customer support and service communications
- Monitor reliability, prevent abuse, and comply with law
3.1 Optional AI-assisted email routing
If an Organization enables AI-assisted inbound email sorting, Perfect Day Plan may send limited email content (such as sender, subject, and message body excerpts) to that Organization’s configured AI provider connection solely to classify or route the message into the Organization’s Perfect Day Plan workflows (for example, lead vs. non-sales vs. spam). This is a user-facing product feature controlled by the Organization.
3.2 Google Limited Use affirmation
The use of information received from Google APIs / Google Workspace scopes will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
In particular, Perfect Day Plan:
- Limits use of Google user data to providing or improving user-facing features that are prominent in the Service
- Does not sell Google user data
- Does not use Google user data for advertising, including personalized, retargeted, or interest-based ads
- Does not use Google user data to determine credit-worthiness or for lending
- Does not transfer Google user data to third parties except as needed to provide or improve the Service’s user-facing features (with the Organization’s configuration/consent), for security, or to comply with law
- Does not use Google Workspace / Google user data obtained via these APIs to develop, improve, or train non-personalized (generalized) AI or machine-learning models
Human access to Google user data is limited to cases such as providing support at an Organization’s request, investigating security/abuse issues, complying with law, or where data is aggregated for internal operations consistent with applicable privacy requirements.
4. How we share information
We do not sell personal information.
We may share information only as follows:
- With the Organization’s authorized Users: data in that Organization’s tenant is visible to Users according to roles and permissions
- Service providers / processors: hosting, database, email infrastructure, logging/observability, payment processing, and (when enabled by the Organization) AI providers used to power optional features. These parties may process data only to provide services to us or to the Organization
- Google: when Users authenticate with Google or when the Service calls Google APIs using tokens the Organization authorized
- Legal / safety: if required by law, legal process, or to protect rights, safety, and security
- Business transfers: in connection with a merger, acquisition, or sale of assets, subject to appropriate protections and, where required for Google user data transfers under Limited Use, applicable consent requirements
We do not share Google user data with third parties for advertising or data-broker purposes.
5. Storage, security, and retention
5.1 Storage and security
We store Service data on infrastructure we operate or that is operated by our hosting providers. OAuth refresh tokens for Google connections are stored encrypted at rest using application-level encryption keys. We use HTTPS/TLS for data in transit to and from the Service. We apply access controls, logging, and operational practices intended to protect against unauthorized access, alteration, disclosure, or destruction.
No method of transmission or storage is 100% secure; we work to reduce risk but cannot guarantee absolute security.
5.2 Retention
- Account and Organization data is retained while the account is active and as needed to provide the Service.
- Google connection tokens are retained while the Google account remains connected. If a connection is disconnected or revoked, we delete stored credentials for that connection and stop calling Google APIs with those tokens (we also attempt token revocation with Google where supported).
- Inbound email content imported into the Service is retained as part of the Organization’s business records in Perfect Day Plan until the Organization deletes those records or closes the account, subject to backups and legal holds.
- Security and operational logs may be retained for a limited period for troubleshooting, audit, and abuse prevention.
When retention ends, we delete or irreversibly de-identify data within a reasonable period, except where a longer period is required or permitted by law.
5.3 Deletion and access requests
- Organizations / Users: You may disconnect Google accounts in the Service (Admin → Communication / Google Services) and may request deletion of account data by contacting info@perfectdayplan.com.
- Google account holders: You can revoke Perfect Day Plan’s access at any time in your Google Account security settings (third-party access). Revoking access stops future API access; previously imported business records in Perfect Day Plan may remain until deleted by the Organization or via a deletion request.
- Individuals who believe an Organization has stored their information in Perfect Day Plan should contact that Organization first; we will assist Organizations with verified deletion or access requests as appropriate.
6. Cookies and similar technologies
Our websites and application may use cookies or local/session storage for authentication, preferences, and basic analytics/security. You can control cookies through your browser settings; disabling certain cookies may affect sign-in or product functionality.
6.1 Strictly necessary cookies and storage
These are required for the site and application to work and are set without asking, because the Service cannot be provided without them. They include the cookie that records your own cookie choice, sign-in and session cookies in the web application, and browser local storage used to remember your display preferences (for example, the currency shown on our pricing pages and a short-lived cache of exchange rates).
6.2 Analytics cookies
On our public website we use Google Analytics 4 (measurement ID G-6QBEVFTHRH), provided by Google, to understand how visitors find and use the site so we can improve it. We use it for aggregate reporting only. We do not use it for advertising, and we do not sell the data it produces.
Analytics cookies are not set unless you accept them. Until you choose, no Google Analytics script is loaded and no request is made to Google. If you decline, none is loaded at all.

Analytics data collected through these cookies is held in our Google Analytics property and retained according to the retention period configured there, after which Google deletes the underlying event data. Google acts as our processor for this data. See Google’s Privacy Policy and how Google uses data from sites that use its services.
6.3 Changing your mind
You can withdraw or change your consent at any time using the Cookie settings link in the footer of any page on our website. You can also clear cookies for perfectdayplan.com in your browser, which removes your recorded choice and any analytics cookies, and the consent banner will appear again on your next visit.
You may additionally opt out of Google Analytics across all sites by installing Google’s browser opt-out add-on.
7. Children’s privacy
Perfect Day Plan is a business service and is not directed to children under 13 (or the equivalent minimum age in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact info@perfectdayplan.com and we will take appropriate steps to delete it.
8. International transfers
We may process and store information in the United States and other countries where we or our providers operate. If you access the Service from another country, you understand that your information may be transferred to and processed in those locations.
9. Changes to this Policy
We may update this Privacy Policy from time to time. We will post the updated Policy with a revised “Last updated” date. If we change how we use Google user data in a material way, we will update this Policy and, where required, obtain renewed consent before using Google user data for the new purpose.
